Privacy Policy
This notice explains how VCare Association handles information submitted through vcareassociation.org and its community programs.
Information we collect
We collect only the information requested through contact inquiries, volunteer applications, assistance requests, Digital Uplift applications, and partnership inquiries. Depending on the form, this may include contact details, location, selected program interests, availability, and a limited description needed to review the request.
Please do not send government identification, bank or card details, passwords, detailed medical records, or unnecessary information about children or vulnerable adults.
How information is used
- To receive, review, and respond to submissions.
- To administer programs, volunteer screening, safeguarding, and appropriate follow-up.
- To send submission acknowledgements and notify authorized administrators.
- To maintain site security, prevent spam, diagnose technical problems, and support accountability.
Submitting a form does not guarantee assistance, acceptance, partnership, or approval. VCare may contact you to clarify information.
Storage, access, and retention
Contact submissions and final Digital Uplift applications are stored as private records in WordPress and are available only to authorized administrators or staff who are granted specific access. Full sensitive narratives are not included in acknowledgement emails.
Digital Uplift may save application drafts, including applicant and business information entered up to that point. A secure resume link may be emailed to the applicant. The resume token is stored as a hash and a saved draft normally expires after approximately 30 days unless it is submitted earlier.
VCare retains enquiry and application information only for as long as reasonably necessary for programme administration, safeguarding, record-keeping, legal obligations, and legitimate operational needs. Records may be deleted or anonymised when no longer reasonably required.
Cookies, caching, and security information
The site may use essential cookies for WordPress administration, form security, and login functions. LiteSpeed caching and an object cache may temporarily store website responses to improve performance. Security tools and hosting infrastructure may process technical information such as request time, browser information, and network identifiers to prevent abuse. VCare Community Manager uses a privacy-conscious hash derived from an IP address for short-lived rate limiting and does not permanently store the raw IP address with a submission. Temporary security and rate-limiting data may be held as required for abuse prevention.
Analytics is not currently configured. If analytics is added later, this notice should be reviewed before collection begins.
Google reCAPTCHA and fraud defense
VCare uses Google reCAPTCHA Enterprise as an additional security signal to help prevent spam and abusive form submissions. Google may process technical and interaction information for this security purpose as a third-party service provider. You can review Google’s Privacy Policy and Terms of Service.
Service providers and disclosure
The site is hosted through Hostinger. Google reCAPTCHA Enterprise, WordPress plugins used for security, caching, email delivery setup, backups, SEO, and redirects, and the hosting/email delivery infrastructure may process limited information necessary to provide those functions. Applicant acknowledgement and authorized-administrator notification emails may be attempted after a Contact submission or final Digital Uplift application. Email delivery currently uses the website hosting environment while authenticated SMTP configuration is pending.
VCare does not sell applicant information. Information may be shared with service providers acting for VCare, with appropriate people needed to review or coordinate a request, or where disclosure is reasonably required by law, safety, or accountability obligations.
Children, vulnerable persons, stories, and images
Children and vulnerable adults deserve additional care. Forms request only limited initial information. Guardian or appropriate adult involvement may be required. Names, stories, or photographs should not be published without appropriate, informed consent and safeguarding review.
Your requests
You may ask what information VCare holds about you, request a correction, or request deletion where appropriate. Some records may need to be retained for legal, safeguarding, security, or accountability reasons.
